Privacy Notice

AOTools, operated from the United Kingdom, is responsible for the personal information described here. For privacy questions or requests, contact [email protected].

What we collect

  • Account details: username, email address, password hash, registration and sign-in times, plan status and account settings. We do not need your password in support messages.
  • Connection and security details: IP address, device or session identifiers, server logs, failed sign-in attempts and related security records.
  • App and game information: linked character names, server names, saved item details and timestamps, marketplace listings, app version, usage and diagnostic metrics needed to provide and improve the features.
  • Support and purchases: messages you send to support and, when checkout is enabled, payment status, plan, billing period and transaction or subscription identifiers supplied by our payment provider. Card details are entered with the payment provider, not in the AOTools app.

Why we use it

We use account, plan and game information to register users, sign them in, provide the requested features and support purchases. The legal basis is performance of our contract with you, or steps requested before entering one. We use connection, security and diagnostic information to protect accounts, prevent abuse, maintain the service and fix faults. Our legal basis for that use is our legitimate interest in running a safe and reliable service. Where a legal duty applies, we may retain or disclose information to meet that duty.

Registration needs a username, email address and password. Some features need a linked game character or saved item data. Without the required information, those features cannot work. We do not use this information for advertising based on your game activity.

Who receives it

Service providers may process information for us to host the website and app, deliver account email, protect network traffic and, once enabled, process payments. These currently include our VPS host, Cloudflare and MailerSend; Stripe will process checkout data when paid checkout is activated. Access is limited to what each provider needs for its service. Marketplace listings and seller or character names that are visible in the game may be shown to other AOTools users as part of the Marketplace feature.

Discord is a separate platform with its own privacy practices when you join our community. If you open a private support ticket there, our self-hosted bot will use your Discord identity to create a channel for you, the server owner and the bot. People with Discord server-wide Administrator permission may also be able to access it. The messages and attachments remain in Discord; the bot does not make a separate transcript. You can email [email protected] instead. Do not send passwords, recovery codes or full payment-card details in either place.

Some providers may process information outside the UK. Where UK law requires it, we use an applicable adequacy arrangement or appropriate transfer safeguards. Ask [email protected] for details of safeguards relevant to your data.

How long we keep it

We keep account and plan records while your account is active and for as long afterward as reasonably needed to resolve disputes, meet legal obligations and protect the service. Saved character and item information remains until it is replaced, removed or the associated account data is deleted, subject to necessary backups. Security logs and diagnostic records are kept only for as long as needed for troubleshooting and abuse prevention. Backup copies may remain briefly after a change or deletion. Your choices and rights

Depending on the circumstances, UK data-protection law gives you rights to access, correct, erase or restrict use of your information, to receive portable data, and to object to processing based on legitimate interests. You may object to our legitimate-interest processing by emailing [email protected]; we will assess the request under applicable law. You can also complain to the UK Information Commissioner’s Office.

Changes

We may update this notice as the service changes. We will change the date above and highlight material changes where appropriate. Read the Terms & Conditions for the rules of using AOTools.
